The hard part
Free events look easy until race morning. With no payment step there's nothing slowing sign-ups down, so the list has to be trustworthy and quick to check at the gate.
This run had three hand-offs before the start line: collect a bib, collect a T-shirt (only for the first 500 to register), then line up outside the Palace for a 6 AM start, in the dark. Each hand-off is a place for queues, duplicates and arguments.
What we set up on Ticgetz
An event page with the rules up front
Banner, date, start point and 30 numbered terms covering eligibility, health, goodies and photo consent, so questions were answered before anyone registered.
A free ticket with limits
One free Entry ticket type, capped at 2,500 in total and 2 per account, with the T-shirt offer for the first 500 stated on the page.
Collection details on WhatsApp and SMS
Runners were told on the event page that bib and T-shirt collection details would reach them by SMS and WhatsApp three days before the run.
Three named scan points
Entry for bibs, T-shirt for the giveaway, and Marathon Main Checkin at the start line, each counted on its own in the console and the Gate Crew app.
Photos, after
The day's photos went up as a public gallery on Ticgetz Events, linked from the event.
How it went
877 people registered on the event page. The crew went into race morning with one list, three scan points and a separate count for each.
Everything the run needed, from the page to the gate, came from one console, which is the setup every organizer on Ticgetz now gets.
